  • Salary Range: QLGIA Stream A – Level 1 – 3 ($60,567.18 – $74,835.84 per annum + 12% Superannuation)

ABOUT THE ROLE

The Records Officer (Archiving) is an essential position within our Information Management team, providing professional and efficient support to ensure the Council’s Records Management functions are compliant with legislative and organisational requirements. In this role, you will manage the retention and secure destruction of records, oversee the transfer of permanent records to Queensland State Archives, and maintain accurate document filing and storage systems.

Additional responsibilities include processing incoming and outgoing mail, managing Council’s primary email address, and delivering high-quality customer service to internal and external stakeholders. You will also assist with Right to Information and Information Privacy applications, end-user training, and new employee records inductions – ensuring the Council’s Records Management practices remain effective and efficient.

ABOUT YOU

You are a motivated and detail-oriented professional with a strong commitment to maintaining accurate and compliant records. Your well-developed interpersonal skills and ability to work as part of a cohesive team will be essential in this role. You bring demonstrated proficiency in Microsoft 365 applications, data entry, and word processing, with the ability to rapidly acquire knowledge of Council’s records management systems, such as MagiQ Documents and MagiQ Enterprise.

A developing knowledge of statutory requirements relevant to records management and experience in a local government environment will be highly regarded. While tertiary qualifications in a relevant field are desirable, a current ‘C’ class driver’s licence is mandatory. Your ability to prioritise tasks, provide exceptional customer service, and exercise sound judgement, confidentiality, and sensitivity will ensure your success in this role.

Key Responsibilities (including, but not limited to)

  • Carry out general administrative functions relevant to the work area which are compliant with Council’s policies and procedures.
  • Application and management of appropriate retention periods to records according to legislative schedules.
  • Destruction of documents in a compliant and secure method as per legislative requirements.
  • Transferral of permanent records to Queensland State Archives
  • Processing mail for the organisation including via Australia Post, over the counter, and internal intra-office mail.
  • Processing of emails received in Councils primary email address including registration and assigning for actioning.
  • Searching for and providing appropriate records in relation to Right to Information and Information Privacy applications.
  • Physical filing and records storage, including archiving of corporate records.
  • Delivery of quality customer service to internal and external stakeholders, including responding to support requests, providing end user training and new employee records management induction.
